A client booking app: what it should do, when an off-the-shelf service is enough for an independent beauty professional, and when a salon needs its own app in Telegram.

If you're an independent beauty professional, you can usually use an off-the-shelf client booking app: it's set up without a developer and covers the essentials — booking, reminders and a client database. A salon with several professionals or branches may eventually need its own app in Telegram, where its clients already are: a bot or a Mini App that doesn't need downloading. The choice depends on how many professionals and bookings you have, and whether you have special rules: deposits, packages, a consultation before a treatment.

Below: what any booking app should be able to do, where off-the-shelf services fall short, and how to switch to your own without losing clients.

What a client booking app should be able to do

Whether it's called a booking app or beauty salon booking software doesn't matter. Check it against these features:

  • Booking by availability. The client sees only free slots and chooses one herself, even at night. The software takes the length of the service into account, so appointments don't overlap.

  • Reminders. Sent automatically the day before the visit, to wherever the client will read them: Telegram or SMS.

  • Rescheduling and cancelling without a phone call. The freed-up time is immediately available to book again.

  • A client database. Visit history, services, the professional and notes: her favourite shade, nail shape, the times that suit her.

  • Staff schedules. Each professional has their own working hours, days off and breaks, and the receptionist sees everyone at once.

  • Notifications for the professional. They find out about a new booking, a change or a cancellation straight away, not second-hand from the receptionist.

  • Database export. You can export clients and visit history — useful if you decide to change software.

If any of this is missing, clients will still be sending DMs, and the receptionist will still be piecing bookings together by hand.

Off-the-shelf services: what they offer and where they fall short

An off-the-shelf service works as soon as it's set up: you add your services and schedule, get a booking link and put it on Instagram and your map listings. If you're a nail technician working on your own, this kind of manicure booking software will cover almost everything you need.

The limitations become noticeable as a salon grows:

  • The client leaves Telegram. Booking happens on the service's page or in its app, sometimes after creating an account. At every extra step, someone puts off booking until later.

  • The service sets the rules. Deposits, a consultation before a treatment, the same service taking a different length of time with different professionals — some of this may not be configurable.

  • Your database lives with the service. Find out in advance whether you can export it, and in what format.

  • Languages and links to your other systems. Check whether booking is available in Uzbek and whether bookings can be passed to your CRM or website.

Off-the-shelf services usually work on a subscription. Terms change, so check them with the service — especially how the price will change if you add more professionals or branches.

Your own app in Telegram: a bot or a Mini App

Your own booking app doesn't have to be published on the App Store and Google Play. Your clients already use Telegram, so booking can happen right there — with nothing to download and no sign-up.

  • A bot. Booking with buttons in a chat: service, professional, time. For booking, this is usually enough — we show what it looks like step by step in our article on the Telegram booking bot.

  • A Mini App. An app inside Telegram with screens like a website: a price list with photos, staff profiles, a calendar, loyalty rewards. When it's worth it is covered in the article A Telegram Mini App for business: when it pays off.

The main difference from an off-the-shelf service is that the client database stays with you. You can connect it to a CRM, use it for broadcasts and remind clients about repeat visits. The booking flow is yours too: deposits, a consultation before colouring, booking several services at once. The honest downside: your own app has to be built and maintained.

A separate mobile app in the app stores makes more sense for a chain of salons, where clients come often and collect loyalty points. If that's you, take a look at our mobile app development page.

When your own app pays off

Your own app is justified when an off-the-shelf service can no longer handle what you need. The signs:

  • Several professionals and a receptionist. The receptionist spends all day answering messages, even though clients could be booking themselves.

  • Branches. You need a shared database and booking for any branch from one place. Otherwise a client who visits different branches ends up in two databases, and her history has to be pieced together.

  • Your own rules. Packages, deposits, loyalty rewards, service bundles — the service doesn't support them, or only through workarounds.

  • Bookings from different channels. Instagram, the maps, the website, phone calls — and it's all pulled together by hand.

  • The database should be yours, not the service's. You want to send broadcasts, track repeat visits and see bookings in a CRM.

If you recognise your salon in two or three of these, work out two figures: what the subscription costs per year for your number of professionals and branches, and how much the bookings lost to the service's limitations are costing you. Compare the estimate for your own app against those figures.

How to switch without losing clients

When you switch systems, you lose clients not because of the technology but because of old links and habits. So switch step by step:

  1. Export your database. Clients, contact details and visit history from the old service. Check that names and phone numbers have come across without errors.

  2. Don't abandon existing bookings. Run both systems side by side until the appointments booked in the old one have passed.

  3. Show the new system to your team. Show the professionals where to find their bookings, and the receptionist how to add a booking taken by phone.

  4. Replace the links everywhere. Your Instagram profile, map listings, website, Telegram channel, the QR code at reception. If the old service allows it, leave a message there about the move with a link to the new booking page.

  5. Let clients know. Regulars by personal message, everyone else with a post in the channel: "You can now book with us on Telegram — here's the link".

  6. Keep an eye on the first few weeks. Check that reminders arrive, that no bookings go missing and that clients can see where to tap.

Move in a quiet month, not in the run-up to International Women's Day on 8 March or prom season, when you're fully booked and there's no time for mistakes.

Checklist

  • Booking. A client sees only free times and books without any back-and-forth.

  • Reminders. They arrive where clients actually read them.

  • Schedule. Each professional has their own working hours, and the receptionist sees everyone.

  • Export. You know how to export the database from your app.

  • Cost. You know how much you pay for the service per year and what will happen to the price if you add more professionals.

  • Languages. A client can book in Russian or Uzbek.

  • Links. Instagram, the maps and the website all send people to book in the same place.
