You need a booking bot when messaging can no longer keep up: messages get lost, you're replying to clients late in the evening, and some people don't turn up because they forgot. A Telegram bot takes bookings by itself — the client chooses the service, the professional and the time and gets a reminder, and you simply see the finished schedule. If you don't have many bookings and you can keep up with replies, messaging or an off-the-shelf service will do for now.

Below are three ways to take bookings and who each one suits.

Booking by message: free, but things slip through

Most beauty professionals start by taking bookings through Instagram DMs and messaging apps. It's free and personal: the client writes, you reply, it's agreed. That's fine to begin with, but problems start as the number of bookings grows.

  • Messages get lost. A booking request drowns among questions about prices and replies to your Stories. A client messages on Friday evening, you see it on Monday — and she's already booked with someone else.

  • You reply at night. Clients write when it suits them: at 23:00, on your day off, while another client is in your chair. Agreeing on a time takes several messages back and forth.

  • No reminders. There's no time to send reminders by hand, and a forgotten appointment turns into an empty slot that it's too late to fill.

  • The schedule lives in your head. When bookings are scattered across a notebook and three chats, it's easy to put two clients in the same slot.

That doesn't mean giving up messaging altogether. Questions like "Do you do French tips?" or "Can I bring my child?" are better answered by a real person. It's the booking itself that's worth automating.

Online booking services: what they offer and where they fall short

Online booking for a beauty salon means the client books herself, without a receptionist. The easiest way to start is with an off-the-shelf service: it already has a booking page, staff calendars, reminders and a client database, and you can set it up without a developer. For a professional working alone or a small salon, this is often a sensible next step after messaging.

Off-the-shelf services tend to have similar limitations:

  • The client leaves the messaging app. Booking happens on the service's page or in its app, sometimes after creating an account. Every extra step is a reason to put off booking until later.

  • The same flow as everyone else. The service decides the booking steps and the design. Your own rules — say, a consultation before colouring or a deposit for long treatments — can't always be set up.

  • The service holds your database. Check in advance whether you can export your clients and their visit history if you decide to move.

  • Subscription. These services usually work on a subscription basis — check the current terms on the service's website.

We go through how to compare an off-the-shelf app with one of your own in the article Client booking app: off-the-shelf or your own.

What a booking bot looks like to the client

A Telegram booking bot works where clients already message you — there's nothing to download. Booking looks like this:

  1. Opening the bot. Through a link on Instagram, in your map listing or on your website, or a QR code at reception.

  2. Choosing a service. She sees the price and how long the treatment takes straight away.

  3. Choosing a professional. Or the "any available" option.

  4. Choosing a day and time. The bot only shows free slots that fit the length of the service.

  5. Confirming the booking. The bot takes her name from her Telegram profile, and she shares her phone number with one tap.

  6. Getting confirmation. And the day before the visit, a reminder with "I'll be there", "Reschedule" and "Cancel" buttons.

A client decides to book at 23:00 — a minute later she's booked in for Thursday, and in the morning you see the new appointment in your schedule. There was no back-and-forth at all.

The bot can work in Russian and Uzbek: the client chooses the language when she first starts it. If the time she wants isn't available, the bot can offer the nearest free slot or put her on a waiting list.

What a bot can do besides taking bookings

A bot that already knows the client takes over a receptionist's routine:

  • Reminders. The day before and on the day of the visit. Fewer forgotten appointments and empty slots.

  • Rescheduling and cancelling. The client changes the time herself, without calling, and the freed-up slot is immediately open to others again.

  • Booking the next visit. When a touch-up is due, the bot messages the client and invites her to pick a time.

  • A client database. Who came, when, to which professional and for which services. It shows you who has stopped coming.

  • Schedules for your team. Each professional gets their own bookings in Telegram, and the receptionist sees the whole salon.

  • Questions before the visit. Before colouring, the bot can ask what the client has previously dyed her hair with and ask for a photo of it — so the colourist knows in advance how much time to allow.

  • Asking for a review. After the visit, the bot sends a link to your reviews on the map — a happy client only has to write a few words.

  • Broadcasts. News about free slots or a new service goes to everyone who has already used the bot. Keep it relevant: a client can block a bot that annoys her.

How to choose: by the number of professionals and bookings a day

  • You work on your own and don't have many bookings. Messaging is enough. Set up reply templates with prices and free times, and remind clients about their visit the day before.

  • You work on your own but your diary is packed, or you run a small salon. An off-the-shelf online booking service for beauty professionals will take most of the messaging off your hands. Check whether you can export your database from it.

  • Several professionals, a receptionist or more than one branch. This is where your own bot makes sense: a flow built around your services, a database that stays with you, reminders in Telegram, and bookings that can be passed to a CRM.

If you have a lot of services and want to show them with photos and descriptions, a bot has its limits — that's when people look at a Mini App or a website. We cover where the line falls in the article Orders in Telegram or on a website: where a bot hits its ceiling.

A simple test: for one week, count how many messages go on nothing but agreeing a time, and how many bookings fell through because the client forgot or gave up waiting for a reply. If the numbers are an unpleasant surprise, it's time to automate booking.

Checklist

  • Response time. You reply to a booking request the same day, even if it came in late in the evening.

  • Losses. In the past month there have been no lost messages and no double bookings.

  • Reminders. Clients get a reminder the day before their visit.

  • Rescheduling. A client can reschedule or cancel an appointment herself, without calling.

  • Database. You know which of your regulars haven't been in for a while.

  • Export. If you use an online booking service, you know how to get your database out of it.

  • One link. The booking link is on Instagram, in your map listings and on your website, and it's the same link everywhere.
